Complaint & Dispute Resolution Policy

All Motion Sports Association is committed to providing athletes, parents/guardians, coaches, volunteers, and other participants with a respectful, safe, fair, and transparent process for raising concerns.
Informal Resolution
Whenever appropriate, individuals are encouraged to first attempt to resolve routine concerns respectfully with the relevant instructor or organization representative.
Formal Complaints
If the matter cannot reasonably be resolved informally, or if the matter is serious, a formal complaint may be submitted in writing.
The complaint should include:
- Name and contact information of the complainant
- Name of the person(s) involved
- Description of the incident or concern
- Relevant dates and locations
- Any supporting information or documentation
- The resolution being requested, if applicable
Impartiality
Complaints will be handled as fairly and impartially as reasonably possible.
A person who is directly involved in the complaint should not be responsible for making the final decision concerning that complaint.
Independent Complaints Contact
All Motion Sports is currently in the process of appointing an independent complaints contact.
The purpose of this role is to provide participants with an additional and reasonably independent point of contact, particularly when a complaint concerns the Director, Head Coach, another coach, or another person in a position of authority.
Until the appointment is finalized, complaints may be submitted through All Motion Sports' official contact channel. Where a conflict of interest exists, All Motion Sports will take reasonable steps to have the matter reviewed by an appropriate independent person.
Confidentiality
Information relating to complaints will be shared only with individuals who reasonably need the information to assess, investigate, or resolve the matter, subject to legal, safety, safeguarding, insurance, or governing-body reporting requirements.
Non-Retaliation
All Motion Sports prohibits retaliation against an individual who raises a concern or participates in a complaint process in good faith.
Serious Safety or Misconduct Concerns
Matters involving abuse, harassment, discrimination, threats, serious misconduct, or athlete safety may be referred to the appropriate authority, law enforcement, child protection authority, or other organization when required or appropriate.
